What this policy covers

The policy below applies to information you send us through the forms and email addresses published on this site, and to the routine technical details a web server records while you browse. It does not cover records held by your title company, lender, or any other organization you deal with separately. Where this page refers to the association, it means Classics at Kilmer Park Maintenance Association acting through its board and its management company.

  • Information you type into a contact form or send by email.
  • Standard technical details such as browser type and the pages you open.
  • Correspondence the association keeps as part of its records.
  • Requests you send about your own information under California law.

Data collection

Information we collect

We collect only what is needed to answer you and to keep association business moving. Nothing on this site asks for payment details, Social Security numbers, or account passwords.

Details you provide

When you submit a contact form or send email through this site, we collect the information you provide, such as your name, property address, email address, phone number, and the content of your message. If you attach a document or a photo of a common area issue, that file comes to us with the rest of your request.

Technical details

We may also collect standard technical information such as browser type and pages visited. This helps us understand which parts of the site residents actually use, and it is kept separate from your contact details. We do not build advertising profiles from it or sell it to anyone.

What we do not ask for

Assessment payments are handled through the channels described on the assessments page, not through a form on this site. If a message ever asks you to send banking credentials, card numbers, or passwords by email, treat it as suspicious and call the association office instead.

We do not sell personal information. Requests sent through this site are used to answer you and to keep accurate association records.

How we use information

Information submitted through this site is used to respond to your inquiry, route your request to the appropriate person, and maintain records of association correspondence. A maintenance question may go to the community manager; a request about governing documents may go to the board secretary. We do not sell personal information, and we do not use it to send marketing for unrelated products or services.

Answering your request

We reply to the email address or phone number you give us, and we keep the thread so the next person who helps you has the full picture.

Routing to the right person

Requests reach the community manager, the board, or a vendor only when that is what the request needs. Routing keeps answers accurate instead of approximate.

Keeping correspondence records

Association correspondence is kept so decisions, complaints, and follow-ups can be traced later. Records help the board answer questions consistently across the year.

Correspondence we keep

  • Your message and our reply
  • Which common area or unit the request concerns
  • Any file or photo you chose to attach

Sharing and disclosure

Information may be shared with the association's management company, board members, and vendors when necessary to respond to a request or perform association business. We may disclose information when required by law or legal process. Each of these situations has a narrow purpose, described below.

Management company

Day-to-day requests are handled by the association's management company, which needs your contact details and message to reply and to dispatch work orders. They act on the association's instructions.

Board members

Matters that belong on a board agenda, such as architectural requests or enforcement questions, may be shared with directors so they can be discussed and decided properly.

Vendors and contractors

When a repair or inspection is needed, the relevant vendor may receive the location and description of the issue. We share the minimum detail needed to schedule and complete the work.

Legal requirements

We may disclose information when required by law, subpoena, or other legal process, or when disclosure is needed to protect the rights and safety of the association, its members, and their property.

How long we keep records

Records of correspondence and requests are retained as long as needed for association administration and to meet legal and recordkeeping obligations. Retention periods may vary by the type of request.

A one-time question about parking is usually closed and archived quickly. A matter that touches assessments, enforcement, or a repair warranty may be kept longer, because it can be referenced in later board decisions or in the association's annual records. When a retention period ends, the record is removed through the association's normal document process.

What can affect a retention period

  • The type of request and whether it became a board item
  • Whether the matter relates to assessments or common area work
  • Recordkeeping duties that apply to California nonprofit associations
  • Whether you have asked us to delete the record, where that is allowed

Your rights as a California resident

California residents may have rights to access, correct, or request deletion of personal information under applicable state law. Requests can be sent to [email protected]. We will respond within the timeframes required by law.

To help us find the right record, include your name, the property address the request relates to, and enough detail about the original message for us to locate it. If we cannot honor part of a request — for example, because a record must be kept for a legal or association purpose — we will explain why in our reply.

Send a privacy request

Access

You can ask what personal information we hold about you and receive a copy of the correspondence connected to your request.

Correction

If your name, mailing address, or contact details are wrong in our records, tell us and we will update them so future notices reach you.

Deletion

You can ask us to delete personal information we no longer need, unless a legal or association recordkeeping duty requires us to keep it.

Security and policy changes

Security

We use reasonable administrative and technical measures to protect information submitted through this site. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you would rather not send details through the site, call the association office during working hours and we will take the information by phone.

Changes to this policy

We may update this policy from time to time. The current version will be posted on this page. Continued use of the site after changes are posted constitutes acceptance of the updated policy. The date shown at the bottom of this page reflects the version currently in effect.
